Terms and Conditions

  1. Completion of the booking form confirms you wish to attend.
  2. All bookings must be with the Lodge by no later than 30th April 2026. Late bookings may or may not be honoured due to restrictions on seating.
  3. All bookings must be completed online to ensure the best experience for the group as a whole.
  4. Cancellation of your booking: You may cancel your booking in full by 30th April 2026. Thereafter, no cancellations can be accommodated and the full amount for your booking will be due. Cancellations made by 30th April 2026 will be refunded less an administration fee of £25 per person. The host Lodge reserves the right to cancel the event due to Government Guidance or other National Regulations applicable at that time.
  5. GDPR:
    1. During the weekend, there will be event photography taking place. Photographs will be loaded onto our Lodge website and Social Media pages. The copyright of those photographs belongs to the Lodge. If you do not wish to be in the photographs, please advise the photographer.
    2. Your personal details are stored in our database on a server located physically within the United Kingdom. Those details will never be shared with any parties other than the Committee organising the Biennial Reunion, save that by entering into the contract referred to above you agree to your name and Club (if appropriate) being inserted into the booklet which may be provided to all delegates upon registration in Cardiff.
    3. Your e-mail address and phone or mobile number may be used by the Biennial Reunion Committee, to contact you regarding the event in order to request clarification of details that you provide or to provide you with further information about the event as that information becomes available.
  6. VAT: The Lodge is not VAT registered.
  7. Dress Code: We kindly request that attendance at each event conforms to the dress code specified in your booking confirmation.
  8. Special requests: any dietary or other special request needs to be stated on the booking form and, where possible, the host Lodge will accommodate those requests, e.g. dietary needs, accessibility, etc.
  9. Lodge Assistance: During the weekend, there will be members of the host Lodge available to assist attendees with any matter which may arise. The host Lodge should be your first point of contact in all matters.
  10. All attendees are responsible for their own conduct and health and safety during the weekend.
  11. We strongly recommend that you take out your own personal cancellation/holiday/travel insurance.
  12. Accommodation is not included in the package. To book accommodation, please click on the Accommodation link and use the information provided in your booking confirmation email.
  13. By submitting the booking form, you are entering into a contract.
  14. We will make every effort to ensure you are seated in line with your requirements, but this cannot be guaranteed.

PAYMENT
​Payment for the full value of the weekend MUST be made at the time of booking (and by no later than 12th April 2026), by one of the following methods:

  1. BACS - using the payment information and reference included in your booking email
  2. Cheque, made payable to "Lodge of Round Table" and posted to The Treasurer, 18 Tarrws Close, Wenvoe, Cardiff. CF5 6BT

Once your payment is received, we will email confirmation of your booking to you. Please note that no booking should be considered valid until you have received confirmation from us.
